THE ART  O F  LETTER WRITING

INTRODUCTORY

What is a letter—Different Types of Letter: Informal (Personal/Private or Social) Letter and Formal Letter: (Official Letter, Circular Letter, Business or Commercial  Letter, Employment Letter, Application to some Authority, Letter to Editor of Newspaper or Magazine, etc. ) — Constituent Parts of a Letter.

A Letter is a written form of communication by means of which a person sends his thoughts, feelings, ideas, any information as- news, report, congratulation, invitation etc. to another person. In brief, it is a written form of communication between two or more persons. A letter is always written addressing to the person whom it is intended to be sent. The practice of letter writing is as old as the practice of reading and writing. Everybody, on a different occasion, faces the necessity of writing a letter. But good readable letter writing is not an easy task. It needs some practice. But before going to practice this art, we should know about the types of letter, parts of a letter and something about the qualities of a good letter.

On different occasions or affairs, one happens to write different types of letter. People write letters to relatives, friends, to office, to editors, to customers etc, on different purposes.  Considering occasion and purpose, letters may broadly be classified into two types. Informal Letters and Formal Letters.

Informal Letters are written forms of communication between friends, relatives and familiar persons. In this type of letter, the writer enjoys much freedom as this type of letter is quite informal. In this type of letter feeling or thought is the main thing rather than technique. Informal letters are also termed as Personal Letters or Private Letters. Letters written to some persons inviting or requesting also fall into this type of Informal letters. A personal letter written on the occasion of a special event is known as a social letter. The congratulatory letter, condolence letter, invitation letter etc are all Informal or personal social letters.

Formal Letters: Formal Letters refer to these letters which are written from a person to an office or from one office to another office or a person. This type of letter is very formal and it is written under some established pattern (customs). They are strictly kept professional in nature and form and directly address the issues concerned. Formal letters are generally written officially. Again formal letters are classified as Official Letter, Circular Letter, Business Letter, Employment Letter, Application to some Authority, Letter to Editor etc.

Official Letter: This type of letter is written from one office to another office or offices, branches, or subordinates of official information to inform some event, order, cooperation, action, declaration of some formal happenings, etc. It usually relays official information like rules, regulations, procedures, events, or any other such information. Official letters follow a certain structure and decorum.

Circular Letter: This type of letter announces information like a change of address, change in management, the retirement of a partner, etc. to a large number of people.

Employment Letter: This type of letter is written with respect to the employment process like joining letter, promotion letter, application letter, etc.

Commercial of Business Letter: This type of letter is written among business correspondents, and generally contains commercial information such as quotations, orders, complaints, claims, collaboration, collections, etc. Such letters are always strictly formal and follow a structure and pattern of formalities. This type of letter should be simple, exact, precise, and clean. Again Commercial letters may be classified as Sales Letters, Order Letters, Complaint Letters, Adjustment Letters, Inquiry Letters, Follow-Up Letters, Acknowledgment Letters, Cover Letters, Letters of Resignation

Applications are a formal type of letters. They are written to secure a job, loan, to get admission to any institute or to leave an office or school etc.

Letters to the Editors of Newspaper or Magazine etc. are a formal type of communication written on some public affairs or on some personal interest.

There are Different Constituent Parts of a Letter to be arranged in neat order. These are:

1. The Heading consisting of – (a) the Writer’s  Address and (b) the Date,

2. The Courteous Greeting or Salutation,

3. The Body (Content) of the Letter,

4. The Complimentary End,

5. The Signature,

6. The Superscription on the Envelope,

7. The Inside Address in case of Official or Business Letter.

Let us discuss them in brief as follows:

The Heading is an important part of a letter. It consists of the full postal address of the writer and also the date. It informs the reader where and when the writer wrote the letter. The position of the Heading is the top right-hand corner of the first page. The address is written above and the date just below it, as-

Kamalpur, Barpeta,

Date: 7th January 2005

The Date may be written in any of the following ways:

5 February 2007,

5th February 2007,

February 5, 2007,

5-2-2007,

5. 2. 2007,

5/2/2007.

If the Date, Month and Year are written in number, then the first number refers to the Day in England and the Commonwealth Countries; but in America, the first number refers to the Month and the second number refers to the Day as the Americans put the Month before the Day.

The Courteous Greeting or Salutation is a term of regards or compliments to begin a letter. It varies according to the type of intimacy or relationship between the writer and the addressee. A comma (,) should be put after the term used for Salutation. The term of Salutation varies in the following ways in regard to intimacy or relationship, as-

1. In the Personal or Private Letters, the following Salutations are made, as-

Between Parents, son and daughter:

My Dear Father/ Mother

Dear Father/ Mother.

Instead of ‘Father’ and ‘Mother’, we can use ‘Papa’ and ‘Mamma’ respectively.

If the Parents write to their son or daughter then the Salutation is made as-

My Dear Son/ Daughter

Dear Son/ Daughter.

The name may also be used as-

My dear Shahriar,

Dear Samima etc.

Between relatives:

My Dear Brother,

Dear Brother,

My Dear Uncle.

Dear Uncle,

My dear sister,

Dear Sister,

My Dear Niece,

Dear Niece.

Names can also be used in case of younger brother or sister, as-

My Dear Nabin,

Dear Nabin,

My Dear Lalita,

Dear Lalita.

Between Friends:

My Dear Alam,

Dear Alam,

My Dear Yasmin,

Dear Yasmin.

Between Acquaintance:

Dear Mr Hazarika,

My Dear Chandra Babu.

Between Persons not intimately known:

Dear Sir,

Sir,

Dear Madam,

Madam.

Besides these, other forms of salutations may also be used in private or personal letters. But whatsoever the Salutation may be, it must suit the position or relation of the addressee.

2. In Official Letters, the Salutation generally used is ‘Sir’ or ‘Madam’.

3. In Commercial Letters or Business Letters the following Salutations are used:

Dear Sir,

Dear Sirs,

Dear Gentleman,

Dear Gentlemen,

Sir,

Madam.

4.  The Editor of a Newspaper or Magazine is addressed with ‘Sir’ or ‘Madam’.

5. The general term of Salutation in regard to a Headmaster, Principal or Headmistress is ‘Sir’ or ‘Madam’ (in case of a woman).

6. In Application, the form of Salutation is ‘Sir’.

Note that ‘Dear’ is a pure form of salutation and is a mere polite expression, not necessarily implying any special affection.

The position of Salutation is at the left hand of the first page, at the lower level than the heading.

The Body (Content) of the Letter immediately follows after the introductory salutation. This part of the letter contains the main things as- thoughts, feelings, ideas or the message the writer wants to convey to the addressee. The content of the letter should be precise, neat and to the point. If there is more point of a matter or affair then every point should be treated in different paragraphs.

The content of the letter should be ended with such polite words, as-

With best regards/ with best wishes/ with regards/ looking eagerly for your kind reply/ thanking you in anticipation etc.

The Complimentary End comes after the body of the letter. The wording of the Complimentary End should be consistent with the introductory salutation. The first word of a complimentary end should begin with a capital letter and a comma (,) should be used after it.

The Complimentary End varies according to the intimacy of the writer and the addressee. But it should be consistent with the Salutation. The Complimentary End varies in the following ways:

In Private or Personal Letters especially between parents and son/ daughter and relatives, the following are the generally used forms:

Yours affectionately/Affectionately yours/ your affectionate father/ yours affectionately mother/ your affectionate son / yours most affectionately etc.

Between friends, the following forms are used:

Yours sincerely/ yours sincere friend/ yours lovely etc.

In the Official Letters the following forms are used:

Yours faithfully/ faithfully yours/ yours most obedient/ most obediently yours etc.

In Commercial Letters ‘yours faithfully’ is the usual form. However ‘yours truly’, ‘yours respectfully’ etc. are also used.

When the letter is written to the superiors the Complimentary End should be:

Yours obediently/ respectfully yours.

When a student writes a letter to his Headmaster or Principal the following forms should be used:

Yours obedient student /yours obediently.

In case of a letter to an Editor, ‘yours faithfully’/ ‘faithfully yours’ is written.

After the Complimentary End, comes the Signature of the writer. This must come below the Superscription, as:

Yours sincerely,

A. Shahin.

In a letter to strangers, the signature should clearly be written so that the reader may know whom to address in reply.

The inside address:

The Salutation,

The body of a letter: …………………………….

The Complimentary End

The forms of Inside Address in case of Commercial or Business Letters are written in the following forms:

When the person addressed has no professional title or degree:

Mr. (plural ‘Messers’), Mrs. (plural ‘Mesdames’), Esq. (shortened form of ‘Squire’) is sometimes also written after the name, as-

Mr. J. K. Talukder or J. K. Talukder Esq.

University degree should be written after the name, as-

Mr. S. Sharma, M. Sc.

‘Esq.’ should not be used when any title is used before the name, as-

Prof. H. Hazarika

Or

H. Hazarika Esq.

In addressing a physician or a person having a doctorate degree, the title should be used before the name, as- Dr Sen Gupta.

In case of addressing a Governor, a judge, a minister or any person of distinction, the title  ‘The Honorable’ is used before the name.

In addressing a Clergyman or Bishop the title ‘The Rev.’ is used.

In addressing a Business Farm or any Establishment the title ‘M/S’ or ‘Messers’ is added before the name of the farm.

In the case of a Company or a Corporation or a Departmental Office, the address is made to the Departmental Head with his full official title.

In writing a letter the above-shown parts in proper place should be mentioned. But besides these, there are some Qualities of a Good Letter, as- neatness, brevity, clearness, precision and legibility. Moreover, any kind of prolixity should be eschewed in writing a letter.

Though everybody has to write a letter but writing out a good letter is not easy. It needs constant practising.

3. Letter to a friend describing him about a journey to a place of historical importance.

Betbari Pather,

Barpeta,

Date: 3/ 5/2009.

Dear Friend, A. B. C.

Please take my love and convey my affection to your younger brother and sister. I have received your letter today-morning. Going through your letter, I have come to know that you are very eager to know about my journey that I paid to Old Delhi last month.

Friend, wait and listen to that I along with my uncle had paid a visit to Old Delhi in last January and spent two weeks there happily enjoying the beautiful palaces and buildings of the Mughal Emperors. First of all, we went to see the Tajmahal, the tomb of Mamataz Begum, built by Shahjahan. Certainly, it is a wonder and pride of India. Secondly, we enjoyed the Qutub Miner, Red Fort, Jumma Masjid and some other beautiful and wonderful historical buildings.

This travelling to Delhi has affected my heart and mind very tremendously as my curiosity, as well as my knowledge of Indian history, has increased. Moreover, the beauty and glory of that place have affected my senses. If I were a poet, I would have written a thousand and one verses describing their appeal that have fallen on my heart and mind.

No more today. Please write to me about how you spent the 1st of January. I shall be waiting eagerly for your reply.

Yours sincerely,

B. H. College Hostel

Date: 2-4-2011

Respectable Father and Mother,

I received your letter about a week ago. But I was so busy preparing my lessons for the ensuing Test Examination that I found no time to write to you. Excuse me for my delay. Going through your affectionate letter, I have come to know that you are very anxious to know about my hostel life. Here I am going to tell you in brief:

My hostel life seems to be very comfortable. Though I am in a hostel for the first time, yet I have found no difficulty at all. Our hostel is a good one. Rooms are spacious and well- lighted. I have got one bed, one table and two chairs. There is also an almirah to keep books and other things. The warden is very kind and sympathetic but very strict in matters of discipline. The arrangement of food is quite satisfactory. After all the hostel life suits I well and I don’t feel any difficulty at all.

It is for the first time that I am away from home. But I do not feel lonely. I have found new friends here. Among them, Sushil is one. We walk together in the evening. As a student, he is very brilliant and helps me in preparing my lessons.

Rest is usual. Today I have to stop here.

7. Letter written condoling with the death of a friend’s father.

Kamalpur

1st June 2019.

Dear Friend Ranabir,

I have received a letter just now from your cousin. Going through the letter, I have come to know that your father had expired suddenly on last Sunday.

It is really sad news. I cannot tell you how deeply grieved I am to hear the sudden death of your father. I have felt the intensity of your sorrow and offer you my heartfelt sympathy.

Dear friend, I know that no language of consolation can console the sorrow-stricken heart when one loses one’s father or mother. Yet, my dear friend, I remind you that death comes to everybody either late or earlier. Everybody must taste the cup of death. So was the case with your father. There is nothing to grieve for long. It is the law of Nature. Death must come to you and me also. One day we also die leaving our offspring orphan like your father. Think of that day and try to have patience and be consoled yourself.

I know that your father was an ideal and honest man. He had good sympathy for the poor and tried his best to uplift their condition. Moreover, he had rendered many praiseworthy social services which would keep him immortal in the heart of us all.

At this moment, let us be inspired by his ideals. Please do not grieve for long. I shall visit you soon.

Arup.

8. Letter to younger brother advising him to read a newspaper regularly stressing upon the necessity of doing so.

New Avenue,

Guwahati-17

July 25, 20011.

Dear Harinath,

After much anxiety, I have received your letter just now. Going through your letter, I have come to know that you are busy with your study. Today, in this letter, I am going to tell you about something which is very necessary for you to pursue.

I know that you are an eager reader of books. Thank you for your good habit. But besides reading your textbooks and out books, I advise you to take to reading newspaper regularly. In this modern age, there are many and many reasons for reading a newspaper. First, the reading of a newspaper will increase your linguistic power. Secondly, if you keep on reading a newspaper regularly, you will be able to know the contemporary world affairs. In this age of the computer, the world has become a global village. If we do not know about the matters and happenings around us then our education would remain incomplete. Newspapers provide us with the best source of acquiring global knowledge. Thirdly, as you are interested in literature, the reading of the newspaper will provide food for your interest. Fourthly, in the newspaper there are many options of entertainment as- word-play, mathematical puzzles, quiz etc. practising which one can acquire knowledge through entertainment. Fifthly, the reading of newspaper broadens our mind and outlooks towards life. Sixthly, the reading of a newspaper makes one a ready man in all affairs which is an urgent need for all the advanced students.

For all these reasons I advise you to take to reading newspaper regularly.

Once if you make this good habit, you will find that you have been getting benefited by this habit. Take to this good habit just from today. Delay in making a good habit is worse. With love and best wishes,

Your elder brother

My Dear Friend, Shushil

Your letter is at hand. Thank you for your letter. Going through your letter, I have come to know that you are very anxious to know about my hobby. Terry a little; I am going to tell you about my hobby as below:

Gardening is my hobby. We have a spacious home. I have divided the yard into two sections. In one, I plant various kinds of vegetables. In the second section, I have planted some seasonal flowers. Every morning I take a walk in the garden. In the evening, I work at least an hour tending the flower-plants. My younger sister helps me with watering the garden.

I spend my leisure time walking and nursing the plants in my garden. When the flowers bloom and dance in the wind, my heart swells up with pleasure. I feel my hobby keeps me fresh and healthy. I think that gardening is a hobby which is superior to any other favourite activities.

This is in brief, an account of my hobby. Please tell me about your hobby also. I shall be waiting for your reply.

10. Letter to a friend telling him about my aim in life.

Bongaon

Date: 4/ 6/ 20011

Dear Friend, X

I have received your affectionate letter a few while ago. I am glad to receive it. Going through your letter, I have come to know that you are very eager to know about my aim in life. Here I am telling you to quench your anxiety.

After much thought and consideration, I have chosen the aim of my life that is to become a Pisciculturist. It refers to one who cultivates fishes and takes it as his occupation. We know that Assam is a land which is full of ample water resources. There is much scope for fisheries. But the Assamese are not conscious of it. I want to be one who would take the lead to show an example of nursing and tending fishes in a scientific way. For this, I have been studying various books pertaining to pisciculture. I have decided that after passing B. A. I will take a diploma in Pisciculture and then begin my mission. I want to be a specimen of many unemployed educated youths. I think that if we can be conscious of this profession, then the problem of unemployment will something be solved.  And along with it, our dear land would go a step ahead in self-employment.

Please bless me so that I can reach my goal. Thanking you, I have stopped here today.

11. Letter to an elder brother seeking his advice on the future course of studies after passing the H. S. L.  C. Examination.

Kamalpur

18th March 2018

Dear Brother,

At the outset of my writing, I convey my respect and then I beg your suggestion regarding my future course of studies.

It is to inform you that the result of our H. S. L. C. Examination will come out within a week. My parents are very anxious about my result. They think that if I cannot get one of the first ten positions, then they would send me to business instead of sending me to college for further studies. But you know that I am very studious and want to pursue more. So I request you to admonish my parents so that they may be persuaded to change their motives regarding my future career. Please advise me whether it would be better for me to study Science or Arts. But I think that I am better suited for Arts rather than Science.

No more today to waste your valuable time. I shall be waiting for your earlier and kind reply.

My dear Father,

At the very outset of my writing, please take my love and respect. You will be glad to know that I have made satisfactory progress in my studies.

My progress in all the main subjects is quite satisfactory. I have already completed studying all the subjects. 19. A letter to a friend telling him how the last puja vacation was spent.

Barpeta

November 24, 2018

Dear Friend X,

At the outset of my writing take my love and convey my respect to your parents. I have received your letter just now. Here I am telling you how I have spent the last puja vacation.

You know that I am a sceptic and hardly I believe in idol worshipping. But I like to enjoy the merriment in the puja. During the last Durga Puja vacation, I went to my grandparents home at Barpeta Road town. The people of the town generally celebrate the Durga Puja very gorgeously. I took part in the procession of Sri Durga and made much merriment. After the immersion of the image of Durga in the Beki river, I with my cousins enjoyed the cultural function all night. I danced and sang with my cousins.

Next day morning I returned home with a fresh mind.

No more to write today. Hope that you would also like to write to me about your enjoyment during the last puja vacation.

I have been missing you since the last Monday and was anxious about you. But I have come to know from Nabin that you have been suffering from fever for several days. It is sad news for me.

I think that you have already consulted a doctor and have been taking medicine. I heard that Dr Panchanaon gives a very good treatment of fever. You may consult him.

You may not imagine that how much we have been feeling your absence. I pray to God that may He bless you with quick recovery.

25. Letter to a friend telling him about my daily life.

Paharpur, Kukrajhar

17 th February 2019

Dear Friend X,

I have received your letter just now. From your letter I have come to know that you are very anxious to know about my daily life. Here I am going to tell you in brief.

You know that I like simplicity in all matter. Hence my daily life is very simple. I usually get up early in the morning and take a morning walk for twenty minutes. After this, I wash my hand and face and offer my morning prayer to God. Then I take breakfast and after this, I sit down to read books. In the morning, I usually read  Assamese and English. I continue my studies till 8 o’clock. Then I take my bath and food. At about 8.45  I take my books and walk on to school.

After school is over, I return home at about 3 o’clock in the evening. After returning home, I take food and then take rest for an hour. In the evening, I either play with my brother or watch television. At night I read books till 10 o’clock and then I go to sleep. This is how I spend my daily life.

Please tell me about yours.

26. Write a letter to your friend informing him/ her about the class library of your Spoken English Class.

Arati Nagar, Guwahati,

Date: 20-5-2020

Dear Barsha,

It has been a long time since we have not written to each other. I hope everything is going well with you. Today I want to share with you a very pleasant experience.

In seventh grade, we keep a spoken English class in our regular routine. In Spoken English class, we have a provision of a class library. We have 35 students in our class. For this classroom library, all students have contributed one book each. So we have 35 interesting books in our class library. These books include books ‘You can Win’, ‘Little Ted’s Riding Hood’, Panchatantra Stories’, ‘Arabian Nights’, ‘Diary of a Wimpy Kid’, ‘Alice in Wonderland’, Sleeping Beauty’ etc. One of the Spoken English periods of the week is fixed for this library class. We borrow a book on this day and return it the following week. To improve our reading skills, we all retain a copy, on which we write a very short commentary on the book that we borrow. The commentary is written in about 5 to 10 lines. After the formality of releasing the books, we take turns to give a short speech on the book we borrowed. This activity is really exciting because the teacher grades us based on the quality of our speech. We feel honoured when we are greeted with a big round of applause at the end of the speech by the teacher and our friends.

This class library has helped us cultivate confidence and a love for reading books. We all eagerly wait for the library class so that we can borrow another interesting book. Another important aspect of this class is that two students are selected as class librarians for one month by our spoken English teacher. This is a very responsible task. So I feel proud to tell you that I am one of the two librarians of this month. We keep a register for recording the books issued. Everyone likes this class very much. Sometimes our teachers read stories to us.

I should stop now. Write to me if you too do any such interesting activity in your regular period.

27. A State level debate competition was held in your school recently. Write a letter to your friend informing him/ her about it.

Kamalpur, Barpeta

Date: 11-01-2020

Dear Akan,

I have not heard from you for more than a month. What have happened to you? Today I am going to share an experience of mine with you.

Last Monday, a state-level debate competition was held in our school. The topic of the competition was, “Democracy is the best form of government.” About thirty students from ten districts of Assam had participated in the competition. I also participated in it. It was held at 2. p.m. in our auditorium. About 400 hundred students and some guests were present there. The Principal of B. H. College along with three teachers conducted the competition. Mr Vaskar, the famous journalist and poet, Sri Debjit Das, the professor of K. L. Senior College and Pradiptha Sen, the essayist were the judges. Fifteen students spoke for and fifteen students spoke against the motion. It continued till 4 o’clock in the evening.  Ramanath, a student of Growhills Academy, Barpeta won the first prize and Rajen Das, a student of VIII of Velocity Model Academy, Nalbari won the second prize. I tried my best but could not do well. Though I could not get a prize yet I have learnt many things about how to speak in public and how to put forward one’s arguments in support of one’s view.

It was a pleasant experience for me.

If you have any such experience, please let me know. No more today. Take my love and convey my respect to your parents.

28. Recently you have visited Oran National Park with your parents. Write about it in a letter to your paternal uncle.

Barpeta,

12-01-2020

Respected Uncle,

Please take my respect and convey my love to Seema. You know that we have come to a visit to Orang National Park. We have already visited and enjoyed the park and now we are at our paternal uncle’s home in Sonitpur town.  Today, I am going to tell you about the park and its impression on me.

The Orang National Park is located on the northern bank of the mighty Brahmaputra River in the Darrang and Sonitpur districts of Assam.  It covers an area of 30.43 sq miles.  It was declared a national park in 1999.  It has rich flora and fauna. It is famous for rhinoceros, pygmy hogs, Asian elephants, water buffalo and tiger.

We hired a guide and from morning till evening, he showed us the park. The guide was a fine person. He took us round the park in a jeep and showed us the animals and birds. There we saw herons, parrots, peacocks, raven, florican and many species of birds.

I wondered to see a Bengal tiger there. It was a big one. While the guide showed me the tiger, at first I felt a sense of fear.

Besides the birds and animals, we enjoyed the natural scenery of the park. It is rich with many valuable trees. We saw many rows of teak trees planted by the Forest Department.

The things we saw and enjoyed there had impressed me much. We often hear that the rhinoceros have been being killed by poachers. It is a matter of sorrow and shame for us. I think local people should help the government to protect the park.

No more today.

Again with respect.

Yours Niece

Adid Shahriar.

29. Write a letter to your friend telling him/ her about an incident when you helped someone in need emphasizing the value of good deeds.

21-02-2020

Dear Friend X

At the outset of my writing,  I offer my heartiest love to you and affection to your younger sister, Heera. I am well. Hope that you are all well at home. Today I am going to share a sad but exciting experience to you.

It was last Monday. I was going to school riding on my Hero bicycle. No sooner did I leave the market corner than I saw a bike accident.  I saw a young boy coming from the market on a motorbike at high speed. While crossing the speed breaker the bike rider lost his control and overturned and got hit on a boulder that was beside the road. He broke his left kee and got wounded on the right hand. The blood was splitting out from the wounded limbs.  The boy lost his sense. There was none except me. I got down from my bicycle and ran to him. First I got confused and could not decide what to do. I tried to raise her head but hardly I could do that. At the meantime, an old man happened to come here. Then we lifted him up.

I had no phone with me. But suddenly two people from the nearby village came along. One of them phoned to the police station. After about half-hour, an ambulance (108) arrived and we sent him to the hospital. The two village people urged me to accompany the patient. Hence I went along with the victim. He was admitted to the emergency cell and got prompt treatment. After about three hours he got back his sense. At noon his parents came to the hospital and thanked me. They love me very much.

He is still in the hospital. He is better now.

Though it was a sad event, yet I feel happy and pride to be able to help the boy.

There is a great sense of pleasure in helping others. Help other and feel how ecstatic it is!

No more today. If you have such experience of helping others please tell me.

Yours Friend

30. Write a letter to your uncle informing him about the annual function of your school.

Kamalpur, Barpeta

12 November 2019

Respectable Uncle,

Please take my respect and convey my love to Meria and Julia. I am well. Hope that you are all well at home. Today, I am going to tell you about our last annual function.

Our annual function held on last Saturday. At about 7 am we, all the students and teachers gathered at the school campus and the honourable principal hoisted the school flag. After that, we cleaned the school premises and then made the pandals for the function. We decorated the school gate with coloured papers and banners.

At about 1. pm our annual function began. Some distinguished persons of the locality were invited. They came on time. Then the prize winners were asked to perform their roles again to entertain the guests. We sang various songs and performed a dumb show along with some regional dances.

At about 3 pm the guests were asked to deliver their lectures. The honourable ex-M.L.A delivered a valuable lecture on the necessity of technical education in the present-day school curricula. The president of the Gaon Panchayat also delivered a praiseworthy lecture on the necessity of maintaining cleanliness in all sphere of our life.

At about 4. pm the principal gave away the prizes to the students. I also won two prizes: one in the quiz and the other is in the extempore speech. At about 6 pm our function came to an end with a brief inspiring lecture of the president.

No more today. Again with respect.

Jalukbari, Guwahati

Date: 18-5-2020

Dear Kalyani

How are well. Hope that you are well. Today I am going to share an interesting experience of mine with you.

Last Monday, our school celebrated ‘National Science Day’ at our school premises. A science fair was organized to observe the occasion. Shri Pradipta Kalita, a renowned scientist of India was invited as the chief guest of the occasion. In his brief inaugural address, he told us about his inventions in the field of science and technology. The state-level competition was organized in three categories: science experiment, science model and science project. Students from sixty schools from different parts of Assam participated in the competition. I, along with my friends Rabbi and Tanmoy also participated in that competition in the model category. Our model name was ‘Weight Harvesting’. It was highly praised by the chief guest, teachers, judges and other visitors. The chief guest was a very lovely and charming person. He inspired us to work more on the science model and also invited us to see his inventions. We also assured him that we would definitely go to see his inventions in the summer vacation.

It was a great inspiring experience for me.

With love and best wishes.

7. Application to the Chief Minister of Assam for sanctioning a necessary amount of financial aids in favour of Hilapakri High  Madrassa for its infrastructure development.

To,

The Hon’ble Chief Minister, Assam

Dispur, Guwahati, – 6

Through

The Local M. L. A., Barpeta.

Date: 09-04-2018

Sub: Prayer for sanctioning a huge amount of money in favour of Hilapakri High Madrassa for its infrastructure development.

Sir,

In inviting your kind attention to the subject cited above, I have the honour to inform you that Hilapakri High Madrassa, established in 1944, is situated at the village of Joypur, 3  Kilometers westwards from Howly town, in the district of Barpeta. It is an old reputed institution. It has also celebrated its Diamond Jubilee in the year 2005.

The condition of the Madrassa building is very pathetic. It is so poor that in the rainy season, the students cannot stay in the classrooms.

The result of the school is satisfactory. In A. H. M. Examination held in 2012 a student had secured the 2nd (stand) position. The per cent of the passing of students during the last three years is 100%. In the H. S. L. C. Exam 2015, one student has secured 5th (stand) position. Already the Madrassa has been credited with the Examination Centre for H. S. L. C. and A. H. M. Examinations in 2015.

Besides these, the number of students has been increasing year by year but due to the lack of classroom, it is quite impossible for the school authority to accommodate them properly.

Such being the case, I fervently request your honour to be so good to sanction a reasonable amount of money for the infrastructure development of the Madrassa so as to cope with the present situation at the earliest convenience. This is for the favour of your kind consideration and needful action, please.

Govt. of Assam, Dispur, Ghy-6

Date: 28-10-2017

Subject: Extreme Corruption in operating Govt. Schemes, especially MGNREGA

Sir, With special reference to the subject cited above, I have the honor to state that the Govt. Schemes for the Social-economic development of the state are no doubt praiseworthy, but I grieve to say that all the schemes are sunk in utter corruption especially MGNREGA. In some blocks especially in Bhowanipur, Pakabetbari and Mondia Block in the district of Barpeta (Assam) hardly 15% works has been performed. The real beneficiaries of Job Card Holders do not get the job. Instead, all the money goes to the belly of the concerned officials and brokers.

Hope that honourable Finance Minister along with the concerned departments would be mindful to operating the schemes honestly with the sole aim of developing the infrastructure of the state.

Therefore I request you highly to take necessary action against corruption.

(d) Letters to Editors

Letters written to the Editors of Newspapers are known as Editorial letters. Such a letter is to be addressed to ‘The Editor’. The salutation generally is ‘sir’. The subscription is ‘yours truly’ or ‘yours faithfully’. A heading should always be given to such a letter.  Editorial letters are generally written on social problems. Some specimens are given below:

The Art of Letter Writing

1. Write a letter to the Editor of a local English daily newspaper drawing the attention of the authority concerned to the problem of frequent load-shedding in your locality.

To

The Editor

The Assam Tribune

Chandmari, Guwahati-3

Date: -02-03-2019

Inconvenience caused by load-shedding.

Sir,

Through the column of your esteemed daily, I would like to draw the attention of the authority concerned to the problem of frequent load-shedding in our locality.

Our locality is a premier place in the district. But I regret to say that frequent load-shedding has made our life miserable. Indiscriminate power-cuts over wide areas for hours together have become a regular feature nowadays. Houses, shops, and factories all reel under the staggering load-shedding.  Students and teachers are the worst sufferers. It seems the local division of the Assam State Electricity Board (A.S.E.B) pays no attention to this burning problem.

I, therefore, urge the authority concerned to take some urgent steps to eradicate the problem.

Yours truly

2. Write a letter to the Editor of a newspaper describing the bad condition of your locality.

Kamalpur

Barpeta,

Date: May 7, 2010

To,

The Editor,

The Assam Tribune

Guwahati- o1

Sir,

Through your esteemed daily, I like to present the long grievance of the people of our locality about the poor condition of communication.

The situation of our locality is about five miles northwards from Barpeta town. Our locality is comprised of ten villages. Almost all the villagers are peasants. Their condition is poor. The area has been neglected by the Government from all rounds.  More than half a century of winning our Freedom has passed, but until today it is a matter of sorrow to tell that all the roads of this locality have remained neglected. About fifteen years ago only one road had been constructed but today it remains no road at all. Moreover, the last great flood caused much destruction to the decay.

The people of this locality approached the authorities concerned on several occasions but their attempts to get the roads repaired have proved futile. Besides this, this locality is deprived of the use of telephone, electricity, drinking water, post office, and other means of communications.

So the people of this locality feel frustrated. It is really a matter of regret, after incessant application to the concerned authorities, no initiative is taken by the Government to lead our locality to the developing steps.

Therefore, I hope to draw the attention of the Government authorities through the column of your daily.

Yours faithfully,

Ashis.

Sir,

Through your esteemed paper, I beg to issue the following appeal seeking help from generous people and organizations.

The recent great flood has made pathetic devastation to the entire Barpeta District. The condition of the villagers around the village of Betbari Pather and Kamalpur is beyond description. Both are poor peasant villages and most of the peasants have lost their entire crops. Domestic animals and poultry have been swept away by the devastating flood. Many people have taken shelter on the P.W.D Road. They are badly in dire need of help.

The generous people and welfare organizations are hereby requested to donate liberally, both in cash and kind, to help the flood victims.

The donors are requested to send their donations of whatsoever kind to the ‘Flood Victim Welfare Committee’, Betbari Pather, District Barpeta (Assam).

4. Write a letter to the Editor of a Newspaper stating the inconvenience suffered by people on account of the inadequate and irregular bus service in your locality.

To

The Editor

The Assam Tribune

12-5-2015

Sir,

Through your esteemed daily, I would like to draw the attention of the concerned authorities to the burning problem that has been being faced by the local people of the vast area of Barbala while travelling from Barbala to Barpeta. There is no transport service till today. People have a walk up to eleven kilometers to reach the town. About a hundred students from our locality have to attend their classes either on a bicycle or on foot. They have been suffering the worst.

We had put forward applications several times to the government and the city bus association, but all our appeals proved futile.

Therefore, through this letter, I would once again draw the attention of the concerned authorities to press into service at least three buses on this route to help a large number of people in this vast area.

To,

The Editor

Assam Tribe

Guwahati – 3

Date: 11-5-2012

Sir,

Through your esteemed daily, I would like to draw the attention of the concerned officials that a lot of money has been wasted during the elections. All the public walls along with the walls around the private households around the city are replete with posters asking voters for the contesting candidates. The loudspeakers which produce the highest pitch of sound have been creating noise pollution. Great processions are running on from morning till night to influence the general public. In addition to these, some candidates seem to hire persons to draw the attention of the public with a sweet voice. All these activities undertaken by the candidates not only result in the wastage of a lot of money but also have been causing a price hike. Some candidates are supplying wine, wealth, and other corrupt gratifications to the public which result in the degradation of the morality of our society.

We think all these wastages have no positive effect except being a slur upon our nation.

Hope that the government will look into these things immediately and initiate the necessary measures to prevent the waste of money during the elections.

Date: 02-03-2019

Sir,

Through your esteemed daily paper, I would like to draw the conscious attention of the government as well as the public in general that road accidents in Assam have become quite frequent events these days. Various accidents are reported every day from different parts of the state. In a report led by P. K. Non-Governmental Organization that most accidents have taken place because of reckless driving. Yesterday in a horrible accident, at Duliajan, three passengers of a minibus died instantly, and more than five got injured pathetically. In the accident, the minibus got collided with a truck running from the opposite direction. The eyewitness reported that the accident happened because of the reckless driving of the bus. In rural areas, frequent bike accident is a daily event. Especially it is seen that the young boys drive their bikes at such a speed as if they are the pilots of jet planes. Resultantly, accidents happen more than usual.

Through this daily paper, I draw the immediate attention of the government to regulate a law controlling reckless driving.

Guwahati – 3

Date: 11-3-2016

Sir,

Through your esteemed daily, I would like to draw the attention of the concerned officials that the power supply of the Electricity Department to our vast Area is highly objectionable. Almost all the hours in day time, the power supply is kept off. Even at night especially from 7. p.m. to 10 p.m. we, the public of the vast Bedhipur are deprived of power supply. Along with the general public, the students are the worst sufferers. The students have to sit idle while they should busy in the study. Days after days, months after months the students have been being deprived of power supply during their studying hours. The effect of this erratic power supply is far-fetched.

We, the public of the Bedhipur have approached the concerned authorities several times. But our every attempt of drawing their attention has proved futile.

Through this daily, I draw the immediate attention of the government to regularize the power supply to our locality, especially for the welfare of the student community.

The indiscriminate rise in the prices of essential commodities.

Sir,

Through the column of your esteemed daily, I would like to draw the attention of the authority concerned to the problem of rising prices of foodstuff and all essential commodities in the state.

The ever-increasing prices of the bare necessities of life have now become a headache to most people. The middle-class and lower-middle-class people find it very difficult to lead their normal life. Besides, some evil merchants add fuel to the problem by hoarding goods in the godowns for future benefit. The Government, as well as the Food and Civil Supply Department, have failed to control the growing problem.

I, therefore, strongly urge the authority concerned to take some urgent and effective measures without delay.

9. Write a letter to the Editor of a local daily expressing your concern over the incidents of crime against women in Assam.

Joytinagar, Ghy-14

Date: 21st April 2019

To,

The Editor

The Assam Tribune

Ghy-3

Sir,

Through the column of your esteemed daily, I would like to express my concern over the incident of crime against women in India, especially in Assam.

It is daily news that women, girls, and even underage children are being sexually abused all over Assam off and on. It is also frequent news that some women are forced to take up the job of a prostitute to earn some money. Moreover, a girl child is sent to work either in private households or in some industries. Every year many married women are compelled to commit suicide after being unbaled to bring dowry from their parents.

Against all these abuse and crime, I think, the general public should be conscious and women also are persuaded to become aware of their rights and stand up for them.

Through this esteem daily, I draw the attention of the government as well as of the public, in general, to come forward with a strong movement against this crime.

Yours faithfully

10. Write a letter to the Editor of a local English Daily drawing attention of the authorities concerned to the nuisance of loudspeakers in your area.

To,

The Editor,

The Assam Tribune

Guwahati, Chandamari.

Date: 23rd March 2017

Sir,

Through the column of your esteemed daily, I wish to draw the attention of the authorities concerned about the nuisance of loudspeakers in Kayakuchi Area.

Since the last month, the vast Kayakuchi area has been being kept busy wildly by loudspeakers. Some businessmen in collaboration with some reckless youths of the locality have been holding fairs and theatres in the open pastures near the K. A. College.

We have already informed the police of that; they visited the spot and met the authorities and asked them to run the programs after 9 p.m. at night without using loudspeakers. But the sponsors of the programs made a deaf ear to the command of the police and have been producing much sound pollution day and night even more vehemently. Already the H. S. L. C. and H. S. Examination is near at hand. The nuisance of loudspeakers has deteriorated the educational environment of the locality beyond description.

In the interest of the peaceful inhabitants and the students, I highly request and draw the attention of the district administration through this esteemed daily to take necessary action against the use of loudspeakers in the vast area of Kayakuchi.

Yours faithfully

Lack of proper medical facility in Kamalpur Area.

Sir,

Through the column of your esteemed daily, I would like to draw the attention of the concerned authority to the lack of proper medical facilities in the vast Kamalpur area.

I regret to say that Kamalpur is a vast area of Barpeta district with a population of more than fifteen thousand.

The people of the locality have been suffering from the lack of medical facilities for a long time. There is not any health center from which the inhabitants of the locality have been suffering a lot. Last year some people died of malaria and dengue. We applied very earnestly to the concerned authority several times but they made a deaf ear to our appeal.

Therefore I  urge the authority concerned to take some urgent steps to set up a Medical center in this vast area.

Yours truly

(c) Business Letter

Men in business are busy people. Time is always very valuable for them. So, business letters should be brief and to the point. They must also be courteous. A business letter is different from a personal letter in form. Business and Official letters are the most formal of all. In such letters, the salutation is very formal ‘Sir’ or ‘Madam’. Write ‘Yours faithfully’ or ‘Yours truly’ before the signature.

Sir,

With reference to the subject cited above, we, All Assam Venture LP, ME, High School and College Teachers Association, beg to state that a vast area of Assam belongs to Minority People. A list of such 100 schools and colleges located in minority areas has been made by ‘All Assam Venture LP, ME, High School and College Teachers Association’.

3. Write an application to the Headmaster/Principal of your school requesting him to change a subject teacher.

To,

The Principal,
Adarsh Vidyalaya, Paka Betbari.

Date: 18-04-2022

Subject: Application for changing Teacher

Sir,

With special reference to the subject cited above, we, the students of Class VIII, Section-B of your esteemed school, have the honor to inform you that during our previous days we had not faced any problems regarding teaching-learning activities. But from this new session, 2022 we want to request you for changing the subject teacher of ‘Social Science’  Dibyadristy. You know well that this is one of the basic subjects and demands the same importance as the other subjects. But we find difficulties in understanding his teaching activities as she does not like to explain the subject matter and hardly co-operates with the students and seemed to remain indifferent if any query is asked twice.

Therefore we humbly request you to change the present teacher with another teacher especially respected Indrani Sharma who would teach us considering our child’s psychology. Sir, your honor, please, don’t take it as a complaint but as a request from us.

We hope that you will consider this application and exchange the teacher as stated above.

This is our humble request for your kind consideration and prompt action. We would remain ever oblique to you.

Your Obedient Students
